This covers how Fully Send It collects, uses and protects personal data through fullysendit.co.uk, our small-business page, our Aberystwyth landing page, and when we contact businesses by email or phone. It doesn't cover the terms of any project we agree to do for you — that's set out in a separate signed agreement.

Who we are

Fully Send It is the trading name of Macey Solutions Limited, a company registered in England and Wales under company number 14031096, with registered office at 82a James Carter Road, Mildenhall, Suffolk, United Kingdom, IP28 7DE. We're the data controller for any personal information collected through this website.

Questions about how your data is handled can go to harry@fullysendit.co.uk.

Data we collect

Information you give us. When you use one of the contact forms on this site (the main site, the small-business page, or the Aberystwyth page), we collect your name, email address, phone number if you give one, business name if you give one, your message, and whether you've asked us to send an information pack.

Information about businesses we contact. Sometimes we get in touch with a business first. In that case we may hold the contact's name, business name, business email address, phone number and website, where we found those details, and notes on our conversations, including emails you send us and any quotes we send you. We get these details from public sources such as your own website, business directories and public listings, or from you directly. It's ordinary business contact information, and we only contact business addresses.

Information recorded when you sign an agreement. If you sign an agreement online through the private link we email you, we record the name and position you type, the date and time, your IP address, your browser's user agent string, and a fingerprint (hash) of the agreement you signed. We keep these with the signed copy as proof of what was agreed, for the retention period for client engagements below.

Information collected automatically. Each page load records the page path, the referring page, your browser's user agent string, the time of the visit, and technical timings of how quickly the page loaded (used to keep the site fast). We also record where the visit came from, which is the referring site or a short label on the link you followed (for example, a code printed on a flyer), the type of device (phone, tablet or computer), your approximate town and country (worked out from your IP address by our hosting provider as the request arrives; the IP address itself is not stored), how long the page was open on screen, how far down it you scrolled, and which buttons you pressed (for example the call or quote buttons). Each page load gets a random reference number held only in the page's memory, so that these details are added to the same record. It is not stored in your browser and cannot link one visit to another. If you send an enquiry through a form, that reference number and the link label are sent with it, so we can see which flyer or page the enquiry came from.

  • No cookies are set
  • No visitor IDs or device fingerprinting
  • No third-party analytics or advertising scripts

How we use it

  • To respond to your enquiry and follow up by email or phone
  • To contact businesses we think we can help, and to keep a record of those conversations so we follow up properly and don't contact anyone who has asked us not to
  • To prepare and send quotes, and keep a copy of what we sent
  • To prepare agreements, and, if you sign one through the private link we send you, to record the signature (see below)
  • To send the automatic confirmation email, and the information pack if you've asked for one
  • To keep a record of enquiries so we can follow up properly
  • To understand which pages are getting attention, using the page-view log described above

Our legal basis is legitimate interest — running and promoting the business, and responding to enquiries. When we contact a business ourselves, we say who we are in every message and stop as soon as you ask. If your enquiry turns into paid work, data from that point is also processed to perform the contract we agree with you, and that contract governs the engagement itself.

Who we share it with

We use a small number of service providers to run this site, and each only gets what it needs to do its job:

  • Vercel — hosts the website and runs the backend functions that handle form submissions and page-view logging
  • Neon (via Vercel's managed storage) — stores the database of enquiries and page views
  • Resend — sends the notification and confirmation emails
  • Hostinger — hosts our business mailbox, so emails we send to you and emails you send to us pass through and are stored there

These providers may process data outside the UK, principally in the US. Where that happens, we rely on their standard contractual safeguards to keep your data protected to UK standards. We don't sell your data, and we don't share it with anyone for marketing purposes.

How long we keep it

  • Enquiries, and businesses we've contacted, that don't turn into paid work: kept for up to 24 months from our last contact with you, then deleted
  • Enquiries that become a client engagement: kept for the length of that engagement and for 6 years afterwards, in line with standard UK accounting and tax record-keeping rules
  • Page-view logs: kept for 12 months, then deleted

Cookies

This site doesn't use cookies — no analytics cookies, no advertising cookies, and no third-party embeds that set them. The page-view log mentioned above is written straight to our own database; nothing about your visit is stored in your browser. The one exception is if you choose to exclude your own visits by opening a page with ?notrack on the end: that saves a single "don't track" marker in your browser, which you can remove with ?track. If that ever changes, for example if we add analytics in future, we'll update this policy and ask for consent first where the law requires it.

Security

We take reasonable technical and organisational steps to protect the data we hold, including HTTPS encryption across the whole site and relying on infrastructure providers who maintain their own security standards. No method of transmission or storage is completely secure, but we don't ask for or store payment details or ID documents through this site.

Your rights

Under UK GDPR, you can ask to:

  • see the data we hold about you
  • have inaccurate data corrected
  • have your data deleted, where we're not required to keep it for a legal reason
  • object to or restrict how we use it, including asking us not to contact you again
  • receive a portable copy of it

Email harry@fullysendit.co.uk to exercise any of these. If you ask us to stop contacting you, we'll stop and keep only your name and email address on a do-not-contact list so we don't contact you again. If you're unhappy with how we've handled your data, you can also complain to the Information Commissioner's Office.

Children

This site is aimed at businesses, not children, and we don't knowingly collect data from anyone under 18.

Changes to this policy

We may update this policy as the site or our processes change. The date at the top shows when it was last revised.
